Privacy Policy
Timence Guide respects your privacy and is committed to protecting your personal data. This Privacy Policy explains how we collect, use, disclose, and protect personal data when you visit our website, subscribe to our newsletter, create an account, or otherwise interact with Timence Guide.
1. Data Controller
The data controller responsible for the processing of personal data described in this Privacy Policy is: Jacopo Mattei Italy Email: contact@timenceguide.com
2. Scope of this Privacy Policy
This Privacy Policy applies to personal data collected through the Site, including when you: • browse or access the Site; • subscribe to our newsletter; • create and use an account to save places and articles; • interact with embedded third-party content such as maps; • contact us through the contact form or by email; • request or purchase our paid services, as described in our Service Terms.
3. Personal Data We Collect
a. Newsletter subscription data When you subscribe to our newsletter, we collect your email address. b. Technical and usage data When you visit the Site, certain technical information may be collected automatically, including your IP address, browser type and version, device information, operating system, pages visited, timestamps, and referral data. c. Map and embedded content data If the Site contains maps or similar embedded content provided by third parties such as Google Maps or Mapbox, those providers may collect certain technical data directly from your browser or device when the content is loaded, including your IP address and usage-related data. d. Contact and client data When you contact us or request our paid services, we collect the information you provide, such as your name, email address, phone number, the dates and size of your group, and the preferences needed to prepare your proposal and provide the services. e. Payment data Payments are processed by Stripe. Your card details are entered directly with Stripe: we never see or store your full card number. We receive limited payment information, such as your name, email address, the amount paid, the card brand and the last digits of the card. f. Account data If you create an account, we collect your email address, your first name and your password, which is stored only in encrypted form: nobody at Timence Guide can read it. We also keep the places and articles you save, the folders you create and their names, the notes you add to what you save, and the links you create to share a folder. To keep you signed in, we store a session cookie in your browser: it is strictly necessary for the account to work. If you choose to continue with Google, Google shares with us your name, your email address and, where available, your profile picture. We use only your name and email address, to create and run your account. We do not receive your Google password or access to any other information in your Google account. Our use of information received from Google follows the Google API Services User Data Policy, including its Limited Use requirements. When you share a folder, anyone who opens your link can see your first name, the name of the folder, how many places and articles it contains and up to three of their photos. To see the whole folder, including your notes, they need to sign in. You can turn a link off at any time from the folder. To understand how these features are used, we also count a few moments without linking them to you or to your account: when a shared link is opened, when a shared link leads to a new account or to a copied folder, which page something is saved from, when something is removed from a folder, and visits to My Places. We record only what happened and when, never who did it, and we do not show these counts to other members.
4. How We Use Your Personal Data
We may use your personal data for the following purposes: • to operate, maintain, and improve the Site; • to send you newsletter content you have subscribed to; • to provide your account, keep the places and articles you save, and let you share your folders; • to answer your requests and prepare proposals; • to provide the paid services you request, and to manage payments, refunds and disputes; • to measure and analyse how the Site is used (analytics); • to detect, prevent, and address technical issues or security incidents; • to comply with legal obligations.
5. Legal Bases for Processing
Where applicable, we rely on the following legal bases for processing your personal data: • Consent: for newsletter subscriptions and, where required, for analytics cookies; • Performance of a contract: to provide your account and its features, to prepare proposals at your request, and to provide the paid services you purchase, including payments; • Legitimate interests: for operating and improving the Site, and for security purposes; • Legal obligation: where processing is required by applicable law, including tax and accounting rules.
6. Newsletter
If you subscribe to our newsletter, we will use your email address to send you articles, editorial updates, and other content from Timence Guide. You subscribe by ticking the consent box in the subscription form, or the newsletter box when you create an account; neither box is ever ticked in advance. As a record of your consent, we keep the date and time you subscribed, the text of the box you ticked, your IP address, and basic information about your browser. You can unsubscribe at any time by: • clicking the unsubscribe link included in any newsletter email; or • contacting us at contact@timenceguide.com.
7. Analytics and Measurement
We may use Google Analytics 4 or similar analytics tools to understand how visitors use the Site, measure traffic, and improve content and performance. Where required by applicable law, analytics technologies that are not strictly necessary will only be used on the basis of your consent. For more information about the cookies and similar technologies used on the Site, including how to manage your preferences, please refer to our Cookie Policy and any cookie preference tools made available on the Site.
8. Third-Party Service Providers
We may use trusted third-party service providers to operate the Site and related services, including: • Vercel: website hosting and infrastructure; • Supabase: database, content management and account sign-in; • Resend: email delivery, including account emails and the newsletter; • Google: analytics, mapping services and, if you choose it, sign-in with Google; • Mapbox: mapping services; • Stripe: payment processing. These service providers may process personal data on our behalf or according to their own role in providing their services.
9. International Data Transfers
Some of the service providers we use may process personal data outside your country of residence, including outside the European Economic Area ("EEA"), such as in the United States. Where personal data is transferred outside the EEA, we will rely on an appropriate transfer mechanism under applicable data protection law. Depending on the provider and the specific transfer, this may include an adequacy decision adopted by the European Commission, the EU Standard Contractual Clauses, or other lawful safeguards or derogations permitted under applicable law. Where relevant, some transfers to the United States may take place to organisations participating in the EU-US Data Privacy Framework. You can contact us if you would like more information about the safeguards used for international transfers of personal data.
10. Data Retention
We keep personal data only for as long as necessary for the purposes described in this Privacy Policy, and in accordance with applicable law. In particular: • Newsletter data is retained until you unsubscribe or request deletion; • Account data, including your saved places, notes, folders and shared links, is retained until you delete your account. Deleting your account does not unsubscribe you from the newsletter: you can do that from any newsletter email; • Client and payment records are kept for as long as needed to provide the services and as required by tax and accounting law; • Technical and usage data is kept for operational and security purposes for a limited period; • Records required for legal compliance are retained for as long as required by law. Where specific retention periods apply under our service providers' settings or legal obligations, those periods will prevail.
11. Your Rights
Depending on your location and the applicable law, you may have the right to: • access the personal data we hold about you; • request correction of inaccurate or incomplete data; • request deletion of your personal data; • restrict or object to certain processing activities; • receive your personal data in a portable format; • withdraw consent at any time where processing is based on consent. If you have an account, you can delete it at any time from your account page: this deletes your account together with your saved places, notes, folders and shared links. To exercise any of these rights, you can contact us at contact@timenceguide.com. You may also have the right to lodge a complaint with the competent supervisory authority. If you are in Italy, you may lodge a complaint with the Garante per la protezione dei dati personali.
12. Children
The Site is intended for a general audience and is not specifically directed to children under the age of 14. We do not knowingly collect personal data from children in violation of applicable law. Where consent is required in relation to the direct offer of information society services to a child in Italy, and the child is under 14 years of age, such consent must be given or authorised by the holder of parental responsibility. If you believe that a child has provided personal data to us inappropriately, please contact us and we will review the matter.
13. Security
We take reasonable technical and organizational measures to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
14. Third-Party Websites and Services
The Site may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal data.
15. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in the Site, our services, or applicable legal requirements. When we do, we will update the "Last updated" date at the top of this page.
